Approve on behalf of an absent reviewer

A step approved in the absent reviewer's place, with the authority document kept on the screening.

Screenshots are taken from the app on every release. Updated 13 October 2026.

The board minutes for Beta Holding A/S have to be signed off today, and the partner whose step it is, Anna Lambda, is in a hearing. She has read the minutes and confirmed her approval by email. As the person who created the screening, you can enter her approval in her place, provided the document that gives you that authority goes on the screening with it.

Two questions decide what you do. What is your authority? A signed power of attorney, or the reviewer's written confirmation for this document. And did the reviewer send the work back before going away? That decides where you approve from.

Only the creator of the screening can approve for another reviewer, and only with a document. A comment typed by you is no record of what the reviewer agreed to.

Approve the reviewer's step

  1. Open the screening. It opens on the step it is waiting on, which is the absent reviewer's.

  2. Drag the authority document onto Evidence of approval, or click there to browse. Until a document is attached, Approval blocked says that one is required before you can approve the step for its reviewer.

  3. Add a Comment saying whose instruction you are acting on and when it was given: "Approved for Anna Lambda on her instruction by email of 13 October 2026." It goes into the activity log with the approval.

  4. Click Approve with Evidence. The Approve Documents button is not yours to use here, because the step is not assigned to you.

The step is approved in the reviewer's place and the screening moves on. Hover over the ticked step and it says Approved by with your name, so the record shows who entered the approval in the reviewer's place.

After the reviewer sent the work back

If the reviewer sent the screening back to the start, revised documents have been uploaded and the reviewer is now away, you can resubmit and approve their step in one go.

  1. On the upload step, upload the revision as described in Revise and resubmit after changes are requested.

  2. Click Submit and approve. A window opens titled with the step and the reviewer you are approving for.

  3. Under Approval evidence for the reviewer's step, anything attached in the earlier round is listed and marked Expired: it was given for the documents as they stood before the send back, so it no longer counts. Drag the reviewer's confirmation of the revised version onto the drop area, or click there to browse.

  4. Click Submit and approve in the window. The revised documents are submitted and the reviewer's step is approved in their place. Any reviewer before them whose approval the send back withdrew still has to approve again.

Keep the reviewer's authority on file

When a reviewer has given you a power of attorney for the whole screening, you can keep it in the screening's Approval Evidence register as well.

  1. Switch to Admin mode in the menu at the bottom right of the screening.

  2. Click the small icon at the bottom right of any step in the diagram (Documentation of Approval). The register lists every other reviewer under Principal, with the state of their documentation: Missing, Valid or Expired.

  3. Click the upload icon in the reviewer's row and choose the document. Click Preview to read it.

The register keeps the authority with the screening and logs its filing in the activity log. The approval itself still rests on the document you attach to the step, so attach one there as well. When the reviewer sends the work back, their authority in the register is marked Expired, because it was given for the documents as they stood. Once the reviewer has approved a step, their document can no longer be removed.

Which evidence to attach

Your authority What to attach
The reviewer approved by email The email, saved as a document, attached to their step
A power of attorney for the matter or the screening The signed power of attorney, attached to the step and kept in the register
The work was sent back and the reviewer approved the revision Their confirmation of the revised version, attached through Submit and approve

Tips from practice

  • Attach the authority for this document, not a general one. An email that says "the minutes are fine" is better evidence for the step than a power of attorney that says nothing about them.
  • Juristic stores the document; it does not judge it. Whether the authority is valid is for you to check before you approve.
  • Fresh evidence after every send back. Evidence given for an earlier draft is marked Expired and does not count for the revision, by design.
  • Tell the reviewer. When they are back, they see their step approved with your name on it; a short note saying so saves a question.

How a reviewer approves their own step is in Review and approve a document in a screening. If the reviewer will be away for the rest of the review, it may be better to change the review chain during a review and give the step to someone else.
