Keep shared notes on the matter
A running set of notes on the matter overview, newest first, with the team's replies under each one.
Screenshots are taken from the app on every release. Updated 13 October 2026.
Some things about a matter do not belong in a document or on a task: the client prefers calls to emails, the other side's counsel is changing next month, the partner wants to see every draft before it goes out. Notes on the matter overview keep these where the whole team sees them when they open the matter, instead of in one person's inbox.
One question decides how you use them. Who has the Notes widget on their view of the matter? Everyone who has it reads every note, so decide before you write whether a note is for the team only.
Put the notes on the overview
- Open the matter. If there is no Notes widget on the overview, a manager of the matter adds it: click Edit matter layout, choose the tab for the role, click Add widget and choose Notes. See set up the matter's front page.
Write a note
In the Notes widget, type in the Write a note... field and click the send arrow (Add note). The note appears at the top with your name and the time; the newest note is always first.
Reply to a note
To answer a note, click the reply arrow (Reply) under it, type your reply and click the send arrow. Replies sit under the note in the order they were written, so a question and its answer stay together.
When a note has several replies, only the latest shows. Click the line that counts them, such as Show 2 earlier replies, to see the rest, and Hide replies to fold them away again.
Replies go under the note, one level deep: you cannot reply to a reply. To answer one, reply to the note it sits under.
Correct or remove your own notes
Click the pencil (Edit) under a note you wrote, change the text and click Save. The note is marked edited beside the time, so the team can see it changed.
Click the bin (Delete) under a note you wrote to remove it, and confirm. Deleting a note also deletes the replies under it, and it cannot be undone.
You can only edit or delete notes you wrote yourself. Replies cannot be edited or deleted once posted.
What to keep where
| What you want to record | Where it belongs |
|---|---|
| Standing information about the matter or the client: preferences, contacts, sensitivities | A note on the matter |
| A question for the team that needs an answer | A note, with the answer as a reply |
| Something someone has to do by a date | A task on the board, see assign and follow up the work |
| Comments on a specific draft | On the draft itself, see discuss a draft with the team |
Tips from practice
- Mind the Client tab. If the Notes widget is on the Client layout, the client reads every note, including the team's internal ones. Keep it on the Manager and User layouts unless the notes are written for the client.
- Write for the colleague who joins later. A note that says who, what and why ("Anna Lambda at Beta Holding A/S wants drafts in Word, not PDF") still makes sense to someone who joins the matter in six months.
- Delete with care. Deleting a note takes the replies with it. If the discussion still matters, edit the note to say it is resolved instead.
