Keep the firm's templates in shared libraries
A curated Firm-wide Library and group libraries every team starts from.
Screenshots are taken from the app on every release. Updated 13 October 2026.
Every practice group has its standard material: the holding structure chart the corporate team draws for each new client, the procedural timetable for an arbitration, the closing checklist for a share purchase, the due diligence review grid. In Juristic that material lives in libraries. The Firm-wide Library holds what every lawyer in the firm reuses, and each group has a library of its own for what belongs to one client or one team. As an organisation admin or a knowledge lawyer, you decide what goes where and keep both tidy.
Two questions decide where something belongs. Would a lawyer in any practice group use it? And will someone keep it up to date?
Open the libraries
Open Admin panel from your user menu, and under Templates choose Libraries.
The table lists the Firm-wide Library first, then the groups, each with its Title and Description. Click Open on the row you want to work on.
Decide where it belongs
| What it is | Where to keep it | Why |
|---|---|---|
| The firm's standard structure chart, the standard closing checklist | Firm-wide Library | Every team starts from the same version |
| The firm's standard elements and relationship types for group charts | Firm-wide Library | The Structure defaults can only use firm-wide items |
| One client's chart, with their entities already drawn | That client's group | Only the client team needs it |
| A practice group's own timetable or review grid | That practice group's group | Other teams would only scroll past it |
When a lawyer starts a structure, timeline, board or insight from a template, the list offers the templates in the matter's group and those in the Firm-wide Library.
Add and tidy the content
A library page shows what it holds in three parts.
Templates in the library's name shows a card for each kind of template, such as Structure templates, Timeline templates, Task board templates and Insight templates, with how many there are. If you can edit the library's templates, click a card to open the list, where you open, duplicate or delete them. How to build a template is in set up a group's templates and standard content, and reuse a structure as a template turns a finished chart into one.
Blocks in the library's name lists the reusable building blocks, with how many of each: the Elements and Relationships for structure charts, their Attributes and Red flags, and the People and Documents for timelines, among others. If you administer the library, click a type to open its list and add or correct entries. Setting these up is covered in set up the group's elements and relationship types.
AI Prompts holds instructions that shape how JuristIQ answers. They are covered in give JuristIQ the firm's standing instructions and set AI instructions for a practice group.
Connect the firm-wide items to the Structure defaults
Two settings on the Structure defaults page (in Admin panel, choose Structure under Tool defaults) only offer items from the Firm-wide Library:
- Default relationship picks the relationship every new line in a structure is drawn with. Only relationships in the firm-wide library are eligible.
- Company chart defaults picks the elements and lines used for each role, such as the company, its owners, its directors and the ownership lines between them, when a lawyer imports a group from the company register.
So build the firm's standard elements and relationships in the Firm-wide Library first, then choose them there. The details are in give new structure elements the firm's look and set up company chart imports for the firm.
Tips from practice
- Keep the Firm-wide Library small and stable. Every lawyer sees its templates in every matter. A handful of maintained standards is used; a long list of near-copies is not, and nobody knows which one is current.
- One owner per library. A knowledge lawyer for the firm-wide one, a named lawyer for each practice group. When a precedent changes, the owner updates the template once instead of every team fixing their own copy.
- Strip the matter out of a template. Before a finished structure or board goes into a library, take out the client's names, amounts and dates, so the next team starts from placeholders.
- Review once a year. Open each library, delete what nobody uses and merge duplicates; the counts on the cards show where the clutter is.
