Put together the closing binder

Every signed transaction document in one indexed, numbered bundle, as a single PDF or a ZIP of separate files.

Screenshots are taken from the app on every release. Updated 13 October 2026.

The deal has closed, and the client expects the closing set: the transaction documents, the corporate approvals and the CP deliverables, each numbered and listed in an index. The documents are already on the deal board, attached to the tasks they belong to. The Binder view compiles them into one bundle and tells you when it needs compiling again.

Two questions decide the settings. Will the reader open one file, or file the documents one by one in their own system? And will it be read on screen or printed?

Create the binder

  1. Open the deal board, click Add view (the + after the views) and choose Binder. Adding views takes a board manager. A board can have several binders, for example one for the client and one for the lender.

  2. Give the binder a Title, such as Project Alpha closing set. The title is also the name of the file you download.

  3. If your firm has a binder template, choose it under Word Template, so the index uses the firm's styles. If the firm has none, the list says so; an organisation admin can add one (see give binders the firm's Word template).

  4. Choose the Type of index. Bullet points gives a contents list; Table gives the index as a table. The sketch below it shows how the index will look.

  5. Choose the Output format and click Create. You can change every setting later, under Configure index.

Who it is for Output format Worth turning on
The client, reading on screen Single PDF Bookmarks and Hyperlinks, so they jump straight to a document
A printed bundle Single PDF Separator pages, and Refer to Page number in the index
The client's document management system ZIP (separate files) Nothing extra: each document arrives as its own file, with the index beside them

Fill it with the documents

  1. Click Sync from tasks. The list shows every document attached to a task or subtask on the board that is not in the binder yet, with the task group and task it comes from. Everything is ticked; untick what does not belong in the closing set, such as drafts and working papers.

  2. Under Group sections by, choose how the binder is divided. Task group only makes a section for each task group, with its documents in it. Task group, task and subtask adds a subsection for each task. Click Add selected.

  3. Arrange the sections the way the client will read them, for example Transaction documents, Corporate approvals and CP deliverables. Click Add section for a new one and click its name to rename it. A section's menu has Add subsection, Add document, Move to and Delete.

  4. Put the documents in order with the arrows beside each one, or Move to another section. The documents are numbered in this order through the whole binder; the sections themselves are not numbered.

  5. Add anything that is not on a task, such as the signed PDFs downloaded from DocuSign, with Add document in the section's menu and Upload documents.

Set up the index

  1. Click Configure index.

  2. Choose the Bullet style for the document numbers: 1, 2, 3, or A, B, C, or I, II, III, or None.

  3. For a bullet-point index, choose whether to Indent content by level and Right align numbers with a Separator such as a dotted line. Refer to decides what the index shows for each document: its Document number or the Page number where it starts in the bundle. Page numbers are only offered for the PDF formats.

  4. Turn on what the reader needs. Hyperlinks makes the document titles in the index clickable. For the PDF formats, Bookmarks adds a bookmark for each document and Separator pages puts a title page before each one.

Generate the binder

  1. Click Generate binder. A progress bar shows while the bundle is built; when it is ready, download it with the download button beside Generate binder.

  2. Check the status next to it. Synchronised means the last bundle matches the binder as it is now. Out of sync means documents or settings have changed since: click Generate binder again before the bundle goes out.

Single PDF only accepts PDF files. If a Word document or a spreadsheet is in the binder, Generate binder stays greyed out until you replace it with a PDF or switch to PDF Portfolio. With PDF Portfolio, a document that is not a PDF appears as a page with its title and file type, not with its content, so convert the documents to PDF first when the client needs to read them.

Tips from practice

  • Generate late. Build the binder as documents come in, and generate it once the last signed copy is in. The status tells you when something has changed since.
  • Signed versions only. Untick drafts in Sync from tasks, and replace any unsigned copy with the PDF downloaded from DocuSign before you generate.
  • Hyperlinks in a ZIP. The links in the index of a ZIP work once the archive is extracted and the index is opened in Adobe Reader. Tell the client, or send a single PDF.
  • Read-only for everyone else. People who can open the binder but do not manage the board see it as it is and can download the latest bundle, but cannot change it.

The signed documents come from send the signing documents through DocuSign. Once the bundle has gone out, wrap up the board after closing.
