Set AI instructions for a practice group

AI prompts that apply only to one practice group's matters, per tool where needed.

Screenshots are taken from the app on every release. Updated 14 October 2026.

The firm's standing instructions cover what holds everywhere. A practice group often has its own conventions on top: the disputes team writes chronology events without characterising the other side's conduct, the corporate team names every step of a reorganisation after the legal act. Group prompts give the AI those conventions only when it works on that group's matters.

One question decides what to write. What does this group do differently from the rest of the firm? Only that goes here; the firm-wide rules already apply.

Adding group prompts needs someone who is both an organisation admin and an admin of the group: only the group's admins see Add Prompt, and only an organisation admin can save. A practice group lead usually writes the wording, and an admin puts it in.

Add a prompt for the group

  1. Open the group's library. From the group's page, click Library; or click Admin panel at the bottom of the sidebar, under Templates click Libraries, and click the group.

  2. Scroll to AI Prompts and click Add Prompt. If the group has none yet, click Add your first prompt.

  3. In Create Prompt, write the instruction under Prompt Text: at least 10 characters, short and checkable. For example: "Describe each event in one sentence, in the past tense, and give the source document."

  4. Under Apply to Tool, choose where the instruction belongs. All Tools applies it to every AI chat on the group's work; Structure, Timeline, Board, Insight, Step Paper and Word Plugin narrow it to that tool.

  5. Under Apply to Groups, the group you came from is already selected. Add other groups if they share the convention, for example two litigation teams. Leave the group in: an empty field turns the prompt into an instruction for the entire organisation.

  6. Click Create. The prompt appears in the list with the tool it applies to and the groups it covers; the group you are in is highlighted.

Change or remove a prompt

  1. To change the wording, the tool or the groups, click the pencil next to the prompt, make the change in Edit Prompt and click Update.

  2. To stop using a prompt, click the bin next to it. It is deleted straight away, without a confirmation, and the AI stops following it from the next message anyone sends.

Group or firm-wide

The instruction Where it goes
Holds for every lawyer in the firm, such as British spelling The firm's Custom AI Prompts, under All Tools
Holds for one practice group, on every tool This group, All Tools
Holds for one practice group, in one tool This group, that tool
Holds for several groups but not the whole firm One prompt, with each group under Apply to Groups

Tips from practice

  • Write only what differs. Group prompts are added to the firm's own instructions, so repeating them only makes the instructions longer. If two instructions pull in different directions, rewrite one of them.
  • Ask the group lead for the wording. The lawyers in the group know which conventions the AI keeps getting wrong. A short list from them makes better prompts than a long policy document.
  • Test it on the group's work. After saving, ask the AI something in one of the group's timelines or boards that the rule should affect, and check the answer follows it.
