Hand the work to a whole team

Tasks owned by a team, colleagues reached with one mention, and each matter marked with the team responsible for it.

Screenshots are taken from the app on every release. Updated 15 October 2026.

Some work belongs to a team rather than to one lawyer: the banking team owns the finance conditions, the disputes team picks up every new claim from the client, whoever is on the deal team that week checks the data room. When your firm has teams, you can give a task to the team, call the team in a comment, and mark which team is responsible for a matter, and the team's current members see it without you naming them one by one.

Two questions decide what you use. Should one person own this, or whoever is on the team? And is it a task, a question, or the whole matter?

Assign a task to a team

  1. On the board, click the task's people cell. Add a person or team lists Teams first, with their number of members, then the people in the matter and elsewhere in your organisation. Pick the team.

The same list is in the task panel of the board's calendar view.

  2. The team shows in the cell. Everyone on the team now has the task in My Work, and filters on people that look for you include the tasks of your teams. When someone joins or leaves the team, their My Work follows; nobody has to reassign anything.

  3. If some members of the team cannot open the matter, the list warns that they will not see the task. If you are a Manager of the matter, click Share with team to give the team access; otherwise ask a Manager to bring the team into the matter.

To take the team off, click the people cell again and remove it, as you would a person.

Mention a team in a comment

  1. In a comment on a structure, a timeline or a task, type @ and the start of the team's name, and pick the team. A team is offered when at least one of its members is on the matter.

  2. Everyone on the team who can open the work is notified that they were mentioned. Someone mentioned both by name and through the team is notified once.

Mark the team responsible for a matter or group

  1. When you create or edit a matter (Edit Matter) or a group (Edit Group), choose the Responsible team. It records which team owns the work; it does not give the team access.

  2. On the home page, the Matters and Groups tabs show each one's responsible team. Use the Responsible team filter above the list to show My teams, one team, or All teams.

Tips from practice

  • A team owns it until a person takes it. Assign the team when the work arrives, and replace the team with the lawyer who picks it up, so the board shows who is on it now.
  • Responsible is not access. Marking a team responsible lets people filter and report on the matter; the team still has to be added to the matter to open it.
  • Mention the team for questions, assign it for work. A mention notifies once; an assignment stays on the task and in everyone's My Work until it is done.

Before this: assign and follow up the work. See also: see everything you owe across your deals.
