Find what is outstanding before closing
The board filtered to the open, overdue or other-side items, saved for you or the whole team.

The closing call on Project Alpha is in an hour and the checklist board has 140 tasks. Nobody on the call wants to hear about the ones that are done. You need the board cut down to what is still open: the conditions not yet satisfied, the deadlines that have passed, the documents waiting on the other side.
Two questions decide how you do it. Do you need this cut once, or every week until closing? And is it for you, or for everyone who opens the board?
Search for a task you can name
- Type a word in Search tasks… in the board's toolbar: the name of a document, a party or a condition. The board narrows to the tasks that match as you type.
- Click the cross in the field (Clear search) to see the whole board again.
Search finds a word. To see every task in a state, such as everything open or everything overdue, use a filter.
Filter the board down to what is open
Click My filters in the board's toolbar, then New filter.
Under Column, choose the status column. Under Operator, choose is none of, and under Value pick the statuses that mean the work is finished, such as Done or Signed. Click Save.
Click New filter again for the deadlines. Choose the deadline column, then is on or before and the date of the closing call: that keeps everything overdue as well as everything that falls due before the call. Choose is past instead to see only what is overdue.
To see what sits with one person, add a filter on the people column with is any of and pick them.
A task stays on the board only if it matches every filter: they are joined by and. Click and between two filters and choose or when a task should show if it matches any one of them. The number on My filters tells you how many are on, and Clear all removes them.
If the board has a column for whose court each item is in (the client, your side, the other side's counsel), filter on that column too. Filtered to the other side, the board is the list to read out on the call.
Pick the column on the board
Quick filter saves finding the column in a list: you point at it on the board.
In My filters, click Quick filter.
Click the header of the column you want, such as the status column. The filter opens for that column with its values ready to pick.
Pick the values and click Save.
Quick filter is there in a Table view. If you would rather choose the column from the list, click Use original filter configuration mode.
Come back to the same filters
The filters under My filters are yours: colleagues on the board do not see them. The board remembers them in your browser when you leave. The next time you open it, it asks Pick up where you left off? and lists the filters from last time. Click Apply to put them back, or Ignore to start from the whole board. Tick Don't ask again for this board if you would rather it stopped asking.
Set filters for everyone on a view
When the whole deal team should see the same cut, for example the open items for the weekly call, a manager of the board can put the filters on the view itself.
Open the view, click Board and choose Edit view.
Go to Filters and click Filters for all.
Click New filter and build the filters as above. Each one is saved, for everyone, when you click Save on it.
Everyone who opens the view then sees only the matching tasks, and their own My filters narrow it further. Filters is there for Table views, and only board managers can edit a view.
Which to use
| You need | Use |
|---|---|
| One task you can name | Search tasks… |
| Your own cut of the board for today's call | My filters |
| The same cut every week, for everyone on the call | A view of its own with Filters for all |
Tips from practice
- Give the closing call its own view. A board manager can add a Table view for the call (Add view, beside the views) and put the filters on it with Filters for all. Do it early: Add view is not available once the board has more than 200 tasks. Whoever runs the call opens the same list, and the main checklist stays whole. See give each workstream its own view.
- Filter out what is finished, not in what is open. With is none of Done, a status someone adds later still shows up. Picking the open statuses one by one would hide it.
- Your filters live in the browser. On another computer, or after clearing cookies, they are gone. Anything you rely on every week belongs on a view.
After the call, send the client where things stand: send the client a status report in Word.
