Fill the gaps in a review table
A complete review table, with scans read, missing categories filled and empty cells answered.
Screenshots are taken from the app on every release. Updated 13 October 2026.
The first pass of the review is done, but the table is not complete. Some rows are red, some documents have no category, some cells are empty and others say Not found. Before the review goes to the partner or into the report, every gap needs to be either filled or explained, so nothing is missing without anyone knowing.
The question that decides what to do is why is the cell empty? A red row is a document with no text that can be read, usually a scan. An empty cell has not been analysed yet. Not found means the document was read and the answer was not in it.
Read the gaps in the table
| What you see | What it means | What to do |
|---|---|---|
| A red row | No text could be read from the document: a scan, a photo, a fax | OCR scan it |
| Reassess missing documents above the table, with a number | That many documents have no Category or Information | Reassess them |
| An empty cell | The cell has not been analysed, for example in a column added later | Analyse missing cells |
| Not found | The answer was not found in the document | Check the document; if the answer is there, reword the question and reanalyse the column |
| Failed uploads above the table, with a number | Files that did not reach the insight | Retry the upload |
Scan the red rows
Click Get Insights at the top right of the table and choose OCR scan red rows and analyse their cells. The option is there when the insight has documents that could not be read.
Under Select Language, choose the language the documents are written in, so the scan reads the text as that language.
Click Start. The red rows are scanned and every cell in them is analysed.
For one document, right-click its row and choose OCR scan and analyse row, choose the language under Select Language, and click OCR. On a red row this option takes the place of Reassess and Reanalyse, which need text to work with.
Fill missing categories
Click Reassess missing documents above the table. Every document without a Category and Information is read again for them. The button goes once the reassessment has started.
For one document, right-click its row and choose Reassess.
Analyse the empty cells
Click Get Insights and choose what to analyse:
- Analyse missing cells answers the cells that have never been analysed, and leaves every answer as it is.
- Analyse missing and not found cells also asks again where the answer was Not found.
- Analyse all cells (overrides current content) answers every cell again and replaces the current answers, so use it only when the questions themselves have changed.
Click Start.
To run the questions again for one document, right-click its row and choose Reanalyse. Every column is answered again for that document. For one question across all documents, open the column's menu and choose Reanalyse. Do this after you reword a question: saving the new wording does not answer the column again by itself.
Split a file that holds several contracts
A single PDF that holds several agreements gives one row with mixed answers. Right-click its row and choose Split document, then mark where each document starts. Each part gets its own row, named after the original file with a number, and is processed like a new upload. The option is there for PDF documents. Split a scanned bundle into separate documents goes through the split step by step.
Upload the files that failed
Click Failed uploads above the table. The window lists the files that did not upload.
Click retry to upload them again, or Clear to empty the list once you have dealt with them another way.
Do this before you leave the insight. The list is kept only while the insight is open; after that, upload the files again with Add documents.
Tips from practice
- Scan first, then analyse. A red row has no answers until it is scanned, and the scan analyses its cells as part of the same run. Clear the red rows first, then analyse what is still missing.
- One language per scan. OCR reads in the language you choose. In a data room with contracts in two languages, scan the rows for each language separately, from each row's menu.
- Not found is an answer. A change of control clause that is not in the contract is a finding. Before you analyse again, open the document and check whether the answer is there under another heading; if it is, reword the question and reanalyse the column rather than rerunning it as it stands.
- Count before you report. Sort or filter the column you rely on most and check that no cell is empty. A table with gaps reads as complete to the person who did not build it.
Back to the review itself: review a set of contracts in a table. For a scan you want to search rather than review, see make scanned documents searchable.
