Choose the My Work columns for everyone

A firm-wide set of My Work columns that new joiners start with, and that you can put everyone back on.

Screenshots are taken from the app on every release. Updated 13 October 2026.

My Work gathers each lawyer's tasks from every deal board into one list. What it shows beside each task, the matter, the status, the deadline, decides whether a lawyer can work from that list on a Monday morning or has to open every board. As an organisation admin you choose the columns the firm starts with, so new joiners see a useful list from day one.

Two questions decide the set-up. What does every lawyer need to see beside a task? And should the firm's choice replace the columns people have already picked for themselves?

Open the Flow defaults

  1. Open the menu under your name and click Admin panel. Under Tool defaults, click Flow. The page, Flow defaults, appears when the firm uses Flow.

Choose the columns

  1. Under My Work columns, start from something close to what you want. If nothing has been chosen yet, a notice lists the default everyone gets today: Item, Matter, Board, Task Group, Status, People and Date. Click Start from the default to adjust that list, or click Copy my columns, at the foot of the card, to start from the columns in your own My Work.

  2. Tick a column under Hidden to show it; it joins the end of Shown. Untick a column under Shown to hide it. The search box finds a column by name or type. Each change is saved as you make it.

  3. Drag a column by its handle to put Shown in the order a lawyer reads a task: what it is, which deal, then where it stands and when it is due.

The list holds the columns from every board in the firm, so it gets long. The line under each column says what it is. Built into My Work is part of My Work itself, such as the matter and the board. Standard board column, matched by type is a standard column, such as status, people or date, that My Work matches on each task's board by its type. Any other column belongs to the boards that have it, and each person only sees the columns on matters they are part of, so a column from one deal board will not appear for everyone.

Decide who gets it

Everyone who has not changed their own columns follows the firm's list. Anyone who has picked their own keeps them.

  1. To put everyone on the firm's list, click Apply to everyone and confirm. This discards the columns people picked themselves, and cannot be undone for them.

The situation What to do
Rolling out My Work to the firm Choose the columns; people who have not started yet follow them
Every deal board now has a column the whole team needs Add it, then Apply to everyone so it reaches the people who chose their own
One team wants different columns Leave the firm's list; they change their own in My Work

Tips from practice

  • Prefer the standard columns. A status, people or date column is matched by type on every board. A column only some boards have leaves gaps in everyone else's list.
  • Tell people before you apply to everyone. It replaces the columns they set up for themselves. Anyone who changes theirs afterwards can go back to the firm's with Use the organisation's columns in My Work.
  • Set it up in your own My Work first. Arrange your own list, check it against a few real deals, then use Copy my columns.

How lawyers work from the list is in see everything you owe across your deals. To give the deal boards themselves the same columns, see build the firm's deal checklist template.
