Keep matter work that is due for deletion

Work on a matter that is still needed given a new retention period, or its deletion confirmed.

Screenshots are taken from the app on every release. Updated 14 October 2026.

Your firm has a data retention policy, and part of a matter has sat untouched for most of the retention period: a structure, a timeline, a task board, an insight or a screening. About a week before the date, Juristic emails everyone on the matter, not only the admins. If you are on the matter, the decision is yours to make: keep the work, or let the policy take it.

Two questions decide your answer. Will anyone need this again? A dispute that may come back, a post-closing claim or a client who returns all say keep. Does the firm have to let it go? If the matter is closed and the retention period is what the firm has agreed with the client, let the policy do its job.

Answer the warning

  1. Open the email. Its subject reads "Action required: … will be deleted", or "… will be archived" if your firm archives rather than deletes. It names the content and the date. The "View content" link opens it, so you can check what it is before you decide.

  2. Click "Keep or delete" (or "Keep or archive") in the email and sign in if Juristic asks you to. The page shows the content and the date it is scheduled for.

  3. If the work is still needed, click Keep Resource. The page confirms "Your choice has been saved." Keeping counts as activity on the content, so the retention period starts again from today. If it then sits untouched for another full period, you get a new warning.

  4. If it can go, click Confirm Delete (or Confirm Archive). Nothing happens early: the content is deleted or archived on the scheduled date, as the policy says.

The link is the same for everyone on the matter, and the first answer counts. If a colleague has already answered, the page tells you what was chosen and no longer shows the buttons; if they kept the work, it says "This resource has been kept. Its retention period now starts again from today." The link only works for people on the matter; anyone else sees "This link is not valid." Once the scheduled date has passed, the page says "This link has expired."

What happens if nobody answers

Nothing changes until the date. Juristic does not delete or archive the content while the warning is still open, and on the date it goes as the policy says. If your firm archives, the email says the content can be restored afterwards. If it deletes, the deletion is permanent.

Which answer for which situation

The situation What to do
The matter is live, the work is quiet for now Keep Resource
The matter is closed but a claim or an appeal is possible Keep Resource, and tell whoever manages the matter
The matter is closed and nothing more will come of it Confirm Delete or Confirm Archive, or let the date pass
You do not recognise the content Open it from "View content" in the email and ask the matter's manager before you answer
The scheduled date has passed The link has expired and can no longer keep it. Ask your organisation's admin

Tips from practice

  • Opening the work does not reset the clock. Only changes count as activity. A timeline that everyone reads but nobody edits still comes up for deletion.
  • A colleague confirmed the deletion and you need the work. The link no longer offers Keep Resource. Make a change in the content before the date: it counts as activity and starts the period again. Then tell the colleague.
  • Answer for the whole team. One answer counts for everyone on the matter, so agree it with the people who did the work if you are not sure.
  • The policy itself is the admins'. How long the period is, and whether expired work is deleted or archived, is set by your organisation's admins. See set the firm's retention policy. For a whole matter that is finished, see close and archive a finished matter.
