Offboard a lawyer who leaves the firm

The leaver's access ended on the last day, their work kept, and each matter handed to a successor.

Screenshots are taken from the app on every release. Updated 13 October 2026.

A lawyer is leaving the firm. On their last day their access to client files has to end, but their matters carry on: the structures, chronologies and deal boards they built stay with the firm, and someone else has to run each matter from Monday. Do the handover first and switch off access last.

Two questions decide the work. Who takes over each of the leaver's matters? Agree that with the practice group before you start. And is anyone left on the matter who can manage it? If so, the team can do the handover themselves.

Before the last day: hand over the matters

Where another Manager is still on the matter, they add the successor, make them Manager, and take the leaver off, as in bring your team into the matter. Where the leaver was the only Manager, or no one left on the matter can manage it, send Juristic support the list of matters and who takes over each one, and support moves them for you.

Structures, timelines, boards and Insight tables that sit in a matter go with the matter, so handing over the matter hands them over too. The Structures, Timelines, Boards and Insight tabs show each piece of work with its Owner, which helps you check that nothing of the leaver's is left behind.

On the last day: end their access

  1. In the Admin panel, open Users and find the leaver. Click the switch in their row (Deactivate licence).

  2. Read the confirmation, Disable user access, and click Deactivate.

The leaver loses access to Juristic and to all the work in it. Everything they created or uploaded stays where it is, and their licence counts as unoccupied again, ready for a new joiner. They receive an email saying their access has ended, naming one of your administrators to contact. Should they return, Activate licence gives them their user back; matters you took them off in the handover have to be shared with them again.

Check the trail

  1. Open the Audit log. The last day shows as User deactivated. Filter by Action and click Export CSV to file the record with the leaver's HR papers. See check the firm's audit trail.

Tips from practice

  • Hand over before you deactivate. Agree the successors and move the matters while the leaver is still there to answer questions about them; switching off access first leaves matters with no one to run them.
  • Drafts do not travel. Work outside any matter, such as the leaver's drafts, cannot be handed over. Ask the leaver to file their drafts into the right matter before they go.
  • Deactivate, do not wait. Ending access on the last day protects the client files even if the email account stays open for a while longer.
  • When the leaver was an administrator, give their role to someone else first: see decide who administers Juristic.

Before this: decide who administers Juristic.
