Update the checklist when parties change
Add and rename checklist rows from the matter's party lists, and decide what to keep when a party leaves the deal.
Screenshots are taken from the app on every release. Updated 2 November 2026.
A new obligor joins the financing, a guarantor changes its name, or a party leaves before signing. If the checklist was created from a template that repeated tasks per party, the board offers the corresponding rows for review, so you can bring the checklist up to date before circulating it.
Two questions decide what to do: is this the same entity under a new name, or a different party? And does work already done for a departing party still belong on the checklist?
Change the parties on the matter
Open the board and choose Board > Deal details & parties. The item appears when the matter's overview has that card; record the deal details and parties covers adding it.
Point at the card and click the pencil, Edit values.
Edit the relevant list. To add an obligor or guarantor, type its name in Add entry… and click Add. For the same party under a different name, click its existing name, type in Rename party and press Enter. Use the cross to remove a departing party; removing a name and adding another treats them as separate parties.
Click Save to store the party list.
Close Deal details & parties with the cross at the top right so the board checks for row changes. You can also edit the card on the matter's overview and then open the board.
Review and apply the row changes
Click Review changes in the banner Deal details & parties have changed. Update this board?
Check each section of Update board from Deal details & parties against the work the team needs.
Section What it means for the checklist Rows to add Tasks for new parties, with the group and, for a subtask, its parent shown underneath Rows to rename Existing task titles shown as old name → new name No longer in Deal details Rows for removed parties; they stay on the board for you to decide whether they are still needed If the dialog says changes are in groups you cannot edit, a board manager must apply those changes. The update applies the additions and renames you can edit.
Click Update board to apply the additions and renames listed in the dialog. If only removed-party rows are listed, click Got it to acknowledge the review; those rows remain.
Check the refreshed groups, including the retained rows for departing parties, before sharing the checklist.
The activity feed records the board update with the numbers of rows added and renamed. Delete a retained row yourself only when its work and record are no longer needed.
If there is no banner
The board must have been created from a template that expanded tasks from the matter's party lists, such as one task per original obligor. Boards created before this capability, and boards without that link, have no banner; editing their party lists does not bring their rows up to date. Update those rows by hand.
The banner does not appear for clients, people with access only to the board, or while previewing a permission set. It also stays hidden when there are no additions, renames or removed-party rows to review. This review is for per-party tasks, rather than every deal detail or template token.
Tips from practice
- Rename the same party in place. Deleting and re-adding its name creates a new party, leaving the old rows for review instead of renaming them.
- Keep the departing party's record until the team agrees. A signed certificate or a completed approval may still explain what happened in the deal, even if that entity is no longer an obligor.
- Check the new tasks before reporting. Review owners, deadlines and subtasks after the update, then assign and follow up the work.
Before this: build the firm's deal checklist template and record the deal details and parties. Next: produce the CP checklist for the other side.
